How to send a letter or postcard

From choosing the right envelope to handing it off for delivery, follow four straightforward steps to send your mail with confidence.

Step01

Choose an envelope or postcard

Start with the right format for what you are sending.

Envelopes are best for flat, flexible items such as letters, cards, checks, forms, and other paper goods. Choose a sturdy paper envelope that keeps the contents flat and protected.

Standard letter envelopes should be rectangular. If your contents are rigid, unusually thick, square, or cannot bend, they may need package pricing instead of regular letter postage.

Postcards are ideal for short messages that do not need an envelope. Make sure your card leaves enough room for the message, delivery address, and postage.

Step 1: Choose your envelope or postcard
Step02

Address your mail

Place each address where it can be read quickly and accurately.

Write your return address in the upper-left corner of the envelope. This allows the item to be returned if it cannot be delivered.

Put the delivery address clearly in the center. Include the recipient name, street address, city, region, and postal code. For postcards, use the address area printed on the card.

Step 2: Address the envelope with return and delivery addresses
Step03

Calculate and add postage

Use enough postage for the size, weight, and service you choose.

Place the stamp or postage label in the upper-right corner. Heavier, larger, or unusually shaped items may cost more than a standard letter or postcard.

Add tracking, delivery confirmation, insurance, or another extra service when the contents need additional visibility or protection.

Step 3: Apply postage to an envelope or postcard
Step04

Send your mail

Your addressed and stamped item is ready to begin its journey.

Leave it in your mailbox for pickup, place it in an approved collection box, or hand it to the team at an OntracParcel location.

For time-sensitive or valuable mail, ask for a tracked service and keep your receipt until delivery is confirmed.

Step 4: Send mail using a mailbox, collection box, or service center
